Write useful arrival observations

An arrival record should say what you observed, when and under what limitations. It should be clear enough for another person to understand without assuming you performed a full inspection.

Practical worksheets · clear next questions

Begin with the context

Record the date, handover reference and people or organisations involved in your own private file. Note weather, visibility, access restrictions or other limits on observation where relevant. Do not publish personal details or precise private locations here.

Record observable information

  • Unit identification as documented or visible to you.
  • Documents and listed loose items actually received.
  • Visible differences compared with the agreed description.
  • Photographs taken safely and linked to a clear reference.
  • Areas or information that could not be checked.

Keep safety outside the checklist pressure

Do not move, start, climb on or dismantle equipment to fill a box. Arrange an appropriately qualified inspection when needed. This page supplies no operating procedure, technical acceptance test or instruction to approach hazardous equipment.

Avoid the word “passed” without a defined basis

Write the specific observation instead. For example, “manual received, revision not checked” is clearer than “documents passed”. Retain originals and keep your notes separate from the source evidence.

A clear question is a useful next step.

Share the relevant unit reference and the question you want to discuss.
